Roles in PRINCE2 to know about

The Executive/Customer

An executive or customer is the individual or group that has commissioned and will cover the project’s costs. The business case will belong to the clients, who will also be responsible for ensuring the project fulfills its objectives.

With support from the Senior User and Senior Supplier, the corporate program management selects the executive in charge of the project. Apart from employing the project management team, the executive also organizes and chooses the team.

Senior User

The responsibilities of the senior user include communicating the needs of the users of the project’s products to the project management team and ensuring the solution’s quality, functionality, and user-friendliness meet these requirements while staying within the parameters of the business case.

All persons who will use the project’s goods—including those involved in operations and maintenance—those for whom the products will serve a purpose, and those who will use them to profit themselves—have interests represented in this role.

The senior user commits user resources and carefully examines products in comparison to the specified specifications. The range of user interests may require more than one person to perform this function. Nonetheless, this position shouldn’t be split among too many people to maximize efficiency.

The senior user presents the benefits and is in charge of proving to corporate, program management, or the client that the benefits—which formed the foundation for project approval—have, in fact, materialized as anticipated. This probably entails a commitment that goes beyond the project’s duration.

Senior Supplier

Among the functions and responsibilities of the PRINCE2 Senior Supplier is delivering the project’s results and products. They also manage risks and concerns that arise during the project. Making decisions regarding the project, keeping an eye on its advancement, and guaranteeing that it continues on course are the responsibilities of these three PRINCE2 positions.

In addition to individuals involved in creating, developing, facilitating, and executing the project’s goods and services, it represents the supplier’s interests. Thus, the only tools, staff, and equipment available are necessary. Furthermore, they guarantee that the product satisfies all accepted requirements, including quality standards.

Project Manager

One can pursue the role of a project manager after completing their PRINCE2 certification course. All they have to do is look after the project daily while ensuring all executive-set guidelines are met. The primary roles of a PRINCE2 project manager in any organization are as follows:

  • Except for checkpoint reports, prepare all reports.
  • Adjust the procedure to the project’s specifics and record it in the PID.
  • Take the helm of the project management group.
  • Oversee the manufacturing process.
  • Create and oversee the project’s protocols.
  • Permit work packages.
  • Unless another individual is designated to take over, carry out the duties of project support and team manager.
  • Assisted project assurance in preparing all baseline management products except for team plans.
  • Keep up with all logs and registers.
  • Communicate with outside vendors.
  • Control the flow of information between the three tiers of management.
  • Keep an eye on general development and resource utilization, and take appropriate action when necessary.
  • Create and oversee the project’s reporting and monitoring controls.
  • Notify the project board of any changes to the original plan.
  • Put the agreed-upon change control strategy into action.

Change Authority

This person or group will consider any requests to modify the project specifications. The Change Authority must approve or reject change requests and will offer a change budget. The project manager may take on this duty at times. Nevertheless, here’s what a change authority must do:

  • Within its designated power, review, approve, or reject requests for off-specifications and changes to the project board’s approved budget.
  • If it is anticipated that the approval of an issue will exceed any assigned change budget or delegated authority limits, consult the project board.

Project Assurance

At predetermined intervals, Project Assurance objectively assesses the project’s progress. This specific responsibility, which usually falls to the Project Board, must be separate from the Project Manager. On the other hand, an impartial Project Assurance team may also be appointed by the Project Board. This team must guarantee that the project stays on course in terms of supplier, user, and business assurance.
